Hours: Full-Time (Non-Exempt)

Job Description:

Primary Job Responsibilities:

  • Responds to and resolves administrative inquiries and questions. 
  • Ability to read and comprehend detailed instructions, correspondence, and memos; Ability to write detailed and specific correspondence; Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. 
  • Prepares agendas and schedules meetings. 
  • Prepares for board meetings by compiling board reports and setting up for the meeting. 
  • Maintains filing systems as assigned. 
  • Supports managers by reviewing and correcting confidential written correspondence. 
  • Works with operations staff to maintain meter inventory. 
  • Conducts research, compiles data, and prepares statistical reports. Manages and updates the CMMS database, ensuring data accuracy and integrity, generating reports and supporting users.
    • Ensures data integrity and standardization within CMMS systems. 
    • Manage user accounts and access permissions. 
    • Provides training and support for CMMS users. 
    • Develop and maintain procedures for data entry and collection. 
    • Performs quality control checks on data to ensure accuracy. 
    • Generates reports on maintenance activities, asset performance, and costs. 
    • Analyze data to identify trends, areas for improvement and opportunities for optimization.  Provides reports and analysis to management. 
    • Coordinates with IT staff and vendors to resolve hardware and software issues. 
  • Will be a primary back-up for customer service. 

Requirements:

  • An associate’s degree is required. Bachelor’s degree in a related field is preferred. 
  • Must have extensive experience using Excel, Word, PowerPoint, and Adobe software programs. 
  • Minimum of three years of experience in an administrative role, with a focus on supporting high level management. 
  • Prefer experience in customer service with supplementary training in customer service skills. 
  • Excellent organizational skills, time management skills, and multi-tasking skills. 
  • Strong understanding of CMMS principles and practices. Excellent data management and analysis skills. Knowledge of relevant wastewater and water industry standards and best practices helpful.

Hiring Range

Rate of pay depends on knowledge, skills and abilities. Salary for this position ranges from $26.81 to $36.79 per hour (DOE).
